10 Things You Need to Know When Planning a Destination Wedding

When planning a destination wedding, it’s a thoughtful touch to organize a block of rooms at the hotel where you’re getting married or somewhere nearby. That way, your guests don’t have to do their own hotel research, the rates are typically discounted, and you know your guests will all be in the same area. Keep in mind, however, that room blocks typically require a contract where you guarantee the use of a certain number of rooms. You are likely going to have to pay for any unused rooms yourself, so enter into these contracts with careful consideration. If a room block isn’t an ideal option in your case, I recommend you do the research yourself or ask your wedding planner for hotel suggestions. Then you can simply share that information with your guests so they can book their rooms on their own.

WHAT TO KNOW WHEN PLANNING A DESTINATION WEDDING

#1 – When should I have my destination wedding?

Keep in mind the different seasons in your destination wedding’s local area. Try to select your date based on the best weather if you’re planning an outdoor event, and avoid busy tourist seasons due to increased travel rates and more congestion. If you’d like more tips about this, check out this post about choosing your wedding date!

#2 – When should I notify my guests?

Some guests are going to have to save money for travelling to your destination wedding, some will need to request time off work, some might need to arrange for sitter services, etc. The list goes on for reasons to allow your guests enough time to plan to attend your event. The more time you can give them, the better!

A 12-month save-the-date is a good time frame for most guests. You know your guests best though, so if you feel you should provide more time, feel free to do so. It’s really up to your discretion.

#3 – Should I organize guest accommodations?

#4 – Should I hire a local wedding planner and coordinator?

As I’ve mentioned before, my answer to this will always be YES, but when planning a destination wedding, it is a DEFINITE YES! Hiring a local wedding planner will make your planning experience truly stress-free. They will know the best venues to fit your vision and budget, a full range of wedding vendors to meet your needs, and they will have full knowledge of the local wedding industry as a whole. They will guide you through the entire planning process with ease and will handle every detail for you on the big day. It’s the one service you truly shouldn’t skimp on when planning a destination wedding!

#5 – Should I visit my destination in advance?

I recommend trying to visit your destination wedding venue or at least the general area at some point before the wedding. If you are able to visit a year in advance during the season or month you’re looking to have your wedding, that will give you the best idea of what you and your guests will experience for your actual event. If you can’t manage that, your menu tasting could be another logical time to visit.

On top of those reasons to visit your wedding destination, you won’t believe the butterflies you’ll have knowing the next time you’re there, you will be marrying the love of your life! The sights, smells, sounds, and feelings will all inspire you. If you’re unable to visit before the big day, trust your wedding planner and other event professionals’ opinions. They really will know what’s best!

#6 – Do I need to obtain a marriage license locally?

This is a great question! Yes, you will need to obtain a local marriage license to be legally married. This is one important piece of information we share with all of our Orlando couples! Be sure you do your research so you know what you legally need to acquire your marriage license in your destination. If you’re getting married in Florida, you can find our helpful Florida marriage license tips here.

#7 – Should I book transportation?

First, decide where you’ll be getting ready for the wedding. If you’re staying somewhere besides the wedding venue, decide how you want to get to and from the venue and organize transportation. This is something we help our couples arrange all the time, so your local wedding planner is a great resource!

Don’t forget your guests. If you refer them to hotels near the wedding venue, make sure to either organize transportation for them or let them know the details of how to get to and from the venue.

#8 – What about DIY’ing my wedding?

If you’re planning a destination wedding, you will obviously be traveling. Keep in mind everything you’ll need to transport with you. This isn’t a regular destination vacation; this is your WEDDING! You will have much more to bring with you, so keep the DIY elements to a minimum. The less extras you have to think about, the more you can relax, destress, and enjoy the entire wedding experience!

#9 – Should I organize steaming services at my destination?

Yes! Your wedding gown and/or suit are likely to get wrinkled during your travels to your destination. Scheduling a gown and/or suit steaming is the best way to ensure you look your best on the wedding day!

#10 – What activities should I consider for my guests?

One of the best things you can do when planning a destination wedding is researching some fun activities for your guests and sharing those ideas with them. Whether it’s a local special event taking place around your wedding date or typical fun things to do at that destination, you can help your guests every moment of their trip!
