How to Have a Stress-Free Wedding Day

Most couples have an idyllic vision of what they want their wedding day to be like…and why shouldn’t they? But having a stress-free wedding day means put in plenty of time and effort ahead of time. Carefully organizing your wedding in advance will allow you to really enjoy your big day. Here are some of our top organizational tips:

  1. Get prepared with the right organizational tools. A three-ring binder or a wedding folder on your computer or smart phone is a must. Be sure to save every email and note in the binder so you can easily reference it. Here are some other items that should go in your organizer:
    1. Checklist/Calendar
    2. Budget
    3. Receipts
    4. Fabric Swatches
    5. Contracts
    6. Contact List
  1. One month prior to the wedding – Work with your wedding planner to create a thorough agenda for the day, complete with the following information:
    1. Setup times for vendors
    2. Getting ready times for the wedding party
    3. Photo start times with people who will be in the photos
    4. Ceremony start time
    5. Cocktail hour start time
    6. Reception start time
    7. Meal service time
    8. Reception event time estimates
    9. Event ending time
    10. Breakdown time
    11. Instructions on where things go during and after the wedding
  1. Three weeks prior to the wedding – Get your guests organized:
    1. As your RSVP cards arrive, group guests together in tables based on your room setup.
    2. Number the tables on your room diagram in an organized way.
    3. List the number of chairs needed at each table.
    4. Create an alphabetical listing of each guest followed by their table number.
    5. Put your place cards in alphabetical order…or hand them over to your wedding planner to handle that for you!
  1. Two weeks prior to the wedding – Organize the ceremony and reception, either on your own or with your wedding planner:
    1. Review any needed contract changes, discussing them with vendors.
    2. Confirm vendors setup and start times, cell phone numbers, and final payments due.
    3. Ensure all setup, start times, and cell phone numbers have been added to the agenda.
    4. Distribute the agenda and confirm each vendor has read and approved it.
    5. Give a final count to the florist and linen company and get your final bill.
  1. One week prior to the weddingTurn over all of your information to someone else so that he or she can be in charge on your wedding day!
    1. Give all vendors the contact person’s information for the wedding day.
    2. Give your final count to the catering manager.
    3. Pay your final bill in the timeline specified in your catering contract.
  1. On the wedding day – Take the following items with you:
    1. Important photo list – If you have any special photographs you want (like you and your best friend from high school), let your photographer know.
    2. Inventory list – Are you using a special cake knife set? Are you bringing family photographs or other keepsakes to display? Make sure the person in charge knows about these items so you get them back.
    3. Copies of agenda.
    4. Detailed list of where things go – Any items you want displayed in a particular way should be outlined so the person in charge can make it happen.
    5. Wedding party list in order or processing.
    6. Announcements for the DJ or band.
